Software alone does not make the difference
Digital event platforms have become indispensable in the event management of pharmaceutical companies. Whether participant management, registration websites, event apps, communication or reporting – solutions such as Cvent, Onomi (formerly SpotMe) and other established platforms offer an impressive range of functions and continue to evolve.
Yet, as an implementing event agency, we repeatedly observe similar situations in our projects: two companies use the same platform – yet achieve completely different results. The reason for this rarely lies in the software itself.
As part of an internal survey among project teams, we evaluated our experiences from numerous national and international medical and scientific congresses as well as employee events. The results were remarkably clear, leading to a fundamental insight for pharmaceutical companies:
Regardless of whether you already use Cvent, Onomi or another event platform, or are currently considering their introduction – the prerequisites for successful event implementation are almost always the same. And the crucial decisions are made long before participant registration begins.
When discussing event platforms, the focus is often on features, integrations or new functionalities. In practice, however, the initial setup is already decisive. The more structured this first project phase is approached, the smoother the entire event cycle runs.
If participant groups, registration logic, communication channels, compliance requirements or reporting needs are only defined or adjusted during the project, both the organisational effort and the risk of errors increase significantly. We therefore recommend allocating sufficient time for the initial event setup on the chosen platform.
Standardised setups create flexibility for your project management
Event platforms offer a wide range of possibilities. From our perspective, however, their greatest value does not lie in individual features, but in the consistent standardisation of recurring event processes.
Standardised registration pages, prepared communication channels, uniform data fields or reusable event templates significantly reduce administrative effort. At the same time, they improve data quality and ensure consistent processes across different events.
In the pharmaceutical industry – where compliance, transparency and documentation play a central role – standardised event setups provide the necessary foundation for efficient and audit-proof processes. Additionally, project timelines are shortened, while the quality and comparability of events sustainably increase.
The benefit of technology grows with user experience
Another finding from our survey confirms an observation from our daily agency work: the more experienced project teams become in using a platform, the more positively they assess its capabilities. Not because the software has changed, but because processes have been established, standards have emerged and knowledge within the teams has grown.
This clearly shows that project success depends far less on the platform used than on how events are planned, built and implemented within that platform.
Conclusion: A well-considered event setup, standardised processes and sufficient experience in using the chosen platform form the basis for efficient project workflows, high-quality participant experiences and compliance-conform events.
Five success factors for platform-based event implementation
- Define participant groups, registration logic and communication channels before the event setup.
- Consider compliance, documentation and reporting requirements from the outset.
- Use standardised event templates for recurring event formats.
- Allocate sufficient time for testing and quality assurance before go-live.
- Regularly exchange best practices with your colleagues and agency.
"Successful events depend on the right event setup – less on the tool used. We would be happy to show you in detail what to consider for your next event."
